Role Overview:
As a Business Administrator Apprentice, you will play a key role in supporting the commercial and estimating functions of the business. Working closely with the Commercial Manager, Contract Managers, Finance and Estimating Team, you will help ensure that project administration, valuations, invoicing, and internal records are delivered accurately and on time.
This apprenticeship provides hands‑on experience across commercial administration, finance processes, customer communication, and estimating support. You will develop strong organisational, analytical, and administrative skills while contributing directly to the successful operation of our workstreams.
Full training and support will be provided as part of your apprenticeship programme.

Entry Requirements (Typical)
· GCSEs (or equivalent) in English and Maths (grade 4/C or above preferred)
Principal Roles and Responsibilities
Administration & Office Support
· Provide general administrative support to the commercial team and wider business
· Maintain accurate records, filing systems, and databases (digital and paper-based)
· Prepare documents, reports, spreadsheets, and correspondence
· Manage incoming and outgoing post, emails, and telephone enquiries
· Supporting continuous improvement of administrative processes within the teams
Communication & Customer Service
· Act as a first point of contact for internal and external enquiries
· Communicate professionally with colleagues, customers, suppliers, and stakeholders
· Take messages accurately and ensure timely follow-up
· Providing professional customer service to both internal colleagues and external clients via phone calls and emails
Systems & Data Management
· Input, update, and maintain data on internal systems
· Ensure data accuracy and confidentiality in line with GDPR requirements
· Use IT systems such as Microsoft Office (Outlook, Word, Excel, Teams)
Planning & Organisation
· Support scheduling, diaries, and appointments
· Assist with coordinating tasks, projects, or events
· Help monitor deadlines and ensure tasks are completed on time
Commercial Administration
· Daily processing and valuation of Daily Record Sheets submitted by line marking crews
· Preparing and issuing monthly invoices for long‑term contracts, major projects and one‑off works
· Converting subcontractor invoices into Wilson & Scott worksheets and customer‑ready invoices
· Maintaining accurate internal and external works trackers, cumulative applications and contract records
· Assisting with monthly financial processes, including deadlines, month‑end tasks, and reconciliations
· Managing relationships with client commercial teams, responding to queries and providing updates
· Being the first point of commercial contact for the contracts you support
· Planning and prioritising your workload to meet internal and client submission deadlines
Estimating Administration
· Supporting the Estimating Team with preparation of quotations, cost build‑ups and pricing documents
· Assisting with compiling tender documentation, customer submissions and follow‑up correspondence
· Helping maintain estimating databases, pricing schedules and rate libraries
· Uploading and organising tender documents, drawings, specifications and correspondence
· Logging incoming enquiries, tracking bid deadlines, and updating the estimating enquiry register
· Ensuring pricing methods and estimating principles are correctly applied when preparing supporting documents
· Liaising with the Estimating Team to ensure accurate information flows to Commercial and Contracting teams
Learning & Development
· Actively work towards the Business Administrator apprenticeship standard
· Complete off-the-job training, assignments, and assessments
· Apply learning in the workplace and seek feedback to improve performance
· Undertaking any additional duties appropriate to the role as your skills develop
Hours of work
Your normal working hours will be 35 hours per week
