Customer Service and Operations Coordinator – The Eyewear Collective

The Eyewear Collective is a fast-growing agency and distributor of premium independent eyewear brands across the UK and Ireland - including names like Kaleos, Rolf, Lunetterie Générale, Otis, Raen, and many others. We connect world-class craftsmanship with independent opticians, helping them offer eyewear that blends design, sustainability, and individuality.
We’re looking for a Customer Service and Operations Coordinator to join our energetic and entrepreneurial West London team. You’ll play a key role in ensuring the smooth running of our daily operations - from processing orders and coordinating deliveries to supporting our sales agents and brand partners. Key Duties
- Manage daily order processing - including invoicing, stock allocation, and courier coordination - across multiple brands and accounts.
- Support our network of agents and optician clients with order updates, delivery information, and general account queries.
- Maintain accurate stock levels and product data for multiple eyewear collections.
- Coordinate incoming deliveries from international suppliers and manage brand sample sets for our sales teams.
- Prepare and send order confirmations, monthly statements, and other operational reports.
- Liaise with logistics partners to ensure timely and accurate shipment of goods.
- Support credit control and payment tracking in coordination with the accounts team.
- Assist with marketing and brand-related projects, including launches, photoshoots, and trade events.
Requirements
- Previous experience in optical, eyewear, or fashion wholesale (preferred but not essential).
- Proven ability to multi-task and prioritise effectively in a busy small team environment.
- Excellent attention to detail, accuracy, and time management.
- Strong communication skills written, verbal, and especially over the phone.
- Competent in Microsoft Office (especially Excel) and comfortable with systems.
- A proactive “can-do” attitude and willingness to take ownership of challenges.
- Ability to work collaboratively within a small, tight-knit team.
- A genuine interest in design, fashion, and independent brands.

Optical experience is preferable but not necessary, all experience will be evaluated to determine the salary within the stated bracket.
