SALES AND PLANNING ADMINISTRATOR
(Business Admin Level 3)
Responsible to: Site Planning Manager
Details of Apprenticeship Standard - Level 3 – through City Skills
Duration
The apprenticeship will typically last 15 months. 7 x 3 hour sessions
Qualifications
Apprentices without level 2 English and Maths and level 1 equivalent ICT will need to achieve this level prior to taking the end-point assessment.
Level
This apprenticeship will be level 3 and for the right person will offer a career path for the future
Provide an efficient service and after sales support to customers, assist with production planning related tasks and work towards a level 3 qualification.
Sales
Provide an efficient service to customers which could include ownership and/or holiday cover, for the following:
- Processing of new or established customer enquiries and orders and maintenance of customer delivery dates
- Provide customers with proof of deliveries (POD’s) when requested.
- Identify product alternatives in the event of shortages and agree with external sales and the customer before despatch.
- Collate all relevant information to promptly process enquiries.
- Process new artwork through to customer approval and finished product.
- Managing sample requests, stocks and records
- Liaise closely with planning, production and distribution to facilitate on time delivery where necessary.
- First point for customer complaints – imputing on ISOWARE system
- Aged stocks.
Planning
To support the function to make sure product is available for delivery on time in full to customers within agreed lead times, whilst maximising production efficiencies.
Other duties include:
- Managing IML condition cards and keeping records up to date
- Raising new product codes
- Maintaining system records for existing products.
- Assisting with the planning of products on production machines using the Barco planning system.
- Checking label stocks against planned orders
- Running reports and updating data
- Liaising with other departments, for example production, quality and label stores / purchasing.
Person Specification
Good organisational skills
Excellent interpersonal skills and telephone manner to work across departments and liaise with customers.
Proven experience working in a customer service environment.
Flexible in approach and prepared to assist team members when required.
Good Excel spreadsheet skills with analytical capabilities.
Excellent communication and word processing skills.
Good trouble shooting skills, including data and processes.
Confident and self motivated, can work well in a pressurised environment, individually and as part of a team.
Sense of humour.
Enjoys a challenge.
Knowledge of Sage systems desirable but not essential (or similar). Comfortable working in a process change environment.

Pay and conditions:
Starting salary will be £15,707 per annum, reviewed annually
Working hours Monday to Friday, 9.00 am to 5.00pm, although a degree of flexibility will be required to meet business needs.
